I get this question a lot: “But what would you actually do for my practice?”
It’s a fair question. The term “virtual assistant” is broad, and in a healthcare context, there are real boundaries to understand.
So let me be direct about what a VA does — and what she doesn’t do.
She doesn’t provide clinical care. She doesn’t make medical decisions. She doesn’t handle anything that requires your license, your training, or your judgment as a provider.
What she does is take the entire administrative side off your plate.
Inbox management — so patient messages, appointment requests, and general inquiries are handled promptly and professionally, without you touching your phone between sessions.
Calendar coordination — scheduling new appointments, sending confirmations, managing cancellations, filling gaps. Your calendar stays organized so you can stay focused.
Patient follow-up communications — appointment reminders, post-visit check-ins, any routine outreach that keeps patients feeling cared for without requiring your personal time.
Document organization and records management — keeping your digital files structured, accessible, and up to date. No more searching for something you know you saved somewhere.
Bookkeeping support — if your VA is QuickBooks certified, she can track expenses, record income, manage invoicing, and keep your financial records clean and current.
SOP development — if your practice is still running on memory and habit rather than documented processes, a good VA can help you build the systems that make everything more consistent.
One thing worth naming: a healthcare VA needs to understand confidentiality. Patient information is sensitive, and the right VA operates with that standard as a baseline — not an afterthought.
The goal isn’t to hand everything off and disappear. It’s to have someone you trust handling the operational side while you focus on what only you can do.
That’s the partnership. And when it works, it changes everything.
